Event Manager

Description


Position Status: Full-time
FLSA Status: Exempt
Reports to: President/CEO
Grade/Level: Salary
Work Schedule: 40+ hours per week
Positions Supervised: Event Planner/Coordinator, Registration/Travel Coordinator

Summary
The Event Manager is responsible for planning and executing multiple events simultaneously.  He or she will act as the primary client liaison, participate in strategic planning sessions, and oversee and/or participate in client meetings.

Amount of Travel
Commute weekdays to the home office of The Event Group; travel to off-site events and meetings with clients and prospects as needed.

 

Requirements


Education
4-year degree required

Experience

  • 5-7+ years of event management experience required
  • 3+ years of supervisory experience required
  • Additional business experience preferred

Personal Skills/Competencies

  • Highly self-motivated
  • Extremely organized with close attention to detail
  • Strong interpersonal and communication skills required in all interactions with other employees and the public
  • Strong negotiating skills
  • Ability to develop and manage event budgets and supervise event staff

Computer Skills

Work Environment
The Event Manager will be based at The Event Group, Incorporated’s office in Minneapolis, Minnesota and travel to the Company’s off-site events.

Essential Functions


The Event Manager is responsible for:
Event Strategy

  • Working with all departments involved to define the purpose and vision of each event and draft a strategic plan
  • Developing event agendas and programs
  • Researching and securing venues, vendors, speakers, entertainment, audio-visual, and decorations
  • Writing and submitting RFPs for venues and vendors
  • Monitoring event strategic plans and marketing plans and ensuring event and financial objectives are achieved
  • Developing a plan for improvements and future growth post-event

Event Management

  • Creating and maintain event project calendar
  • Sending out reminders for pending deadlines
  • Working with event committee to ensure that project deadlines are met
  • Providing input on agendas for event meetings
  • Participating in planning event meetings

Event Logistics

  • Venue selection and negotiations
  • Developing a master document for venue and planning committee outlining all event requirements
  • Conducting pre-event meeting at venue(s)
  • Developing site layout
    › Identifying signage needs and create signage diagram
    › Developing all floor plans and room sets
    › Planning traffic flows (registration, lunch pick-up, etc.)
    › Arranging for stage and floor decorations as needed

Audio-Visual Planning

  • Identifying and coordinating AV
  • Developing full AV specifications sheet
  • Coordinating needs with AV in-house staff
  • Overseeing AV set up and stage set design

Food and Beverage Arrangements

  • Recommending food selections
  • Developing a meal service plan
  • Negotiating catering contract
  • Providing final head count to catering contact

Speaker Coordination

  • Creating speaker grid
  • Ongoing communication with speakers regarding logistical details
  • Identifying and coordinating speaker needs (AV, accommodation, transportation, etc.)
  • Securing speaker handout materials
  • Coordinating speaker PowerPoint presentations

Financial Management

  • Monitoring and controlling event budgets and negotiating necessary contracts
  • Developing line-item budget for each event
  • Tracking revenue and expenditures throughout planning stages
  • Regularly updating budget
  • Providing post-event budget reconciliation

On-site Logistics

  • Re-inspecting venue during on-site visit
  • Placing event signage
  • Developing a detailed staging guide, staff/volunteer assignments and schedules, staff/volunteer training, and event master logistics schedule
  • Working with venue to coordinate room set-up
  • Providing attendee assistance as required throughout the event
  • Monitoring all on-site emergencies

Event Registration

  • Answering participant registration questions
  • Providing registration reports
  • Printing registration packages/name badges
  • Identifying on-site registration needs

Event Sponsors and Exhibitors

  • Working with Sponsorship Sales Manager to determine best layout for show floor
  • Communicating with Sponsors and Exhibitors to coordinate their needs
  • Assisting with move-in and move-out procedures
  • Other responsibilities as requested

Essential Functions


The Event Coordinator is responsible for:

  • Managing registrations, including setting up databases, handling registrations, running reports, doing email blasts and working with Accounting to audit reports.
  • Working with client and event staff to understand and execute the vision and logistics for each event
  • Assisting with any and all roles required (e.g. speaker coordinator, exhibitor and sponsor coordinator, and/or signage coordinator)
  • Assisting with event budgets, deadline calendars, event agenda and program, sponsorship and exhibitor packages
  • Securing venues, speakers, entertainment, audio visual, and decorations as needed
  • Assisting with vendor contracts, registrations and event marketing materials as needed, and help close out all events (e.g. assisting with vendor invoices, debriefing with clients, and brainstorming ways to enhance and improve events)
  • Other duties as assigned

Sponsorship Sales Intern

Description


Position Status: Intern
Grade/Level: Unpaid; will work with student on receiving academic credits
Location: The Event Group, Incorporated
Estimated Commitment: 20-40 hours per week, negotiable

Summary
We’re looking for a self-motivated individual willing to actively participate in activities such as sales networking opportunities; someone with strong oral and written communication skills, a working knowledge of Microsoft Office applications, including Word, Excel and PowerPoint, and experience conducting research on the Internet. Prior sales experience and Salesforce CRM knowledge to lead campaigns is a plus and a sincere interest and desire to learn is a must.

 

Requirements


Education
Seeking or obtained an Associates or Bachelors in a Business-related field, Liberal Arts, or IT.

Experience
Sales experience preferred. Salesforce CRM knowledge to lead campaigns is a plus.

Responsibilities


  • Research and identify names, phone numbers, email addresses for leads/contacts via phone, Internet, and networking events
  • Assist in logging all new leads, current interactions, and past client updates in CRM database
  • Assist in soliciting new sponsors and exhibitors
  • Participate in planning meetings with clients and assist with the development of marketing material content, such as sponsorship/exhibitor sales prospectus
  • Collaborate on fulfillment of sponsor and exhibitor benefits on-site (e.g., registration of booth/table staff, complimentary tickets).
  • Assist in getting following-up with sponsors/exhibitors for fulfillment and payment.
  • Potential travel to client meetings and prospects.
  • Assist the Event Manager at events as needed.

Sponsorship Sales Consultant

Description


Position Status: Contractor
Grade/Level: Commission-based
Location: Off-site
Estimated Commitment: 40+ hours per week

Please Note: This position is contract only, off-site.

Summary
The Sponsorship Sales Consultant is responsible for assisting in the development of sponsor and exhibitor benefits packages for clients’ events based on revenue requirements and available exposure opportunities. He or she will sell sponsorships to local, national, and international event partners and manage follow-through on invoicing and benefits fulfillment. This person will also represent the Company on-site at events and manage the show floor and in-person relationship building for future partnerships.

Amount of Travel
Work from own office, attend weekly production meetings at The Event Group’s office, travel to occasional meetings with clients and prospects, assist at event venues as needed, prospect leads at industry events and occasional out-of-state tradeshows.

 

Requirements


Education
4-year degree in sales, marketing, or business preferred

Experience

  • 5+ years of successful sales experience preferred
  • 3+ years of event industry, tradeshow, and sponsorship sales experience preferred
  • Conference or trade show management experience preferred

Personal Skills/Competencies

  • Strong interpersonal communications, sales, and marketing skills

  • Working with Decorator on show floor layout

  • Working with Event Coordinator to hand-off exhibitor coordination
  • Handling fulfillment of sponsor and exhibitor benefits on-site (e.g., complimentary tickets, bag inserts)
  • Working with Accounting to get contracts invoiced and follow-up with sponsors/exhibitors for payment
  • Attending events and assisting with sponsorship fulfillment and networking

Production Assistant Intern

Position Status: Intern

Summary
The Production Assistant intern is responsible for managing the execution of marketing production projects, the creation and manipulation of digital art, setting type and working with copy, and creating quality deliverables that meet company standards and client needs. He or she interfaces with all members of the marketing team.

Pursuing a Graphic Design Degree; 1-2 years in a degree program

Production

  • Producing printed materials in the form of advertisements, documents, signage, booklets, banners, flyers, posters, mailings, brochures, badges, labels, packaging, and physical objects
  • Creating electronic materials in the form of emails, static websites, dynamic websites, simple animations, presentations, web application interfaces, banners, mobile application graphics, and static television graphics
  • Creating and assembling physical displays, signage, stands, packages, etc.

Creative

  • Brainstorming new ideas and various improvements and creative solutions with creative and marketing teams.
  • Designing, developing, and producing original artwork, layouts, and ideas.

Other

  • Assisting with projects managed by other creative, marketing, and account team members
  • Printing, press checks, color correction, conformity of deliverables to Company style guides and brand standards
  • Other duties as assigned
